Salary Range:  80,000VUV to 100,000VUV per month inclusive of 4% VNPF. Employer pays additional 4% VNPF.

M.V. HELPR-1 is a 34-metre unique humanitarian response vessel, owned and operated by Respond Global, and is flagged and based in Port Vila, Vanuatu. While its design enables emergency response, with an onboard medical facility and emergency response equipment, its true value lies in its day-to-day support of full-time outreach programs, including health, education, climate change and disaster management preparation.

 

HELPR-1 provides a safe logistics, operations, and accommodation base for use by national response teams, with support from Respond Global and other response agencies as required. The vessel is capable of transporting and supplying medical and other emergency response equipment, personnel, and training wherever needed across the Pacific Island Countries.

 

We have recently opened a warehouse in Port Vila which will be the shoreside administrative and storage base for HELPR-1.

 

Job Summary

 

The Stores Person plays a crucial role in supporting the operations of the HELPR-1 warehouse by managing inventory, issuing supplies, maintaining records, and ensuring the efficient flow of goods to and from the vessel. This position requires attention to detail, strong organizational skills, physical fitness, and the ability to work effectively in a fast-paced maritime environment. The Stores Person must have a current valid driver’s license.

 

Responsibilities

 

Inventory Management:

  • Receive, inspect, and store incoming shipments/delivery of supplies, spare parts, and equipment.
  • Maintain accurate records of inventory levels using existing inventory management software or manual systems.
  • Conduct regular stock checks and assist with inventory audits as needed.
  • Assist in loading and unloading delivery trucks.

Issuing Supplies:

  • Process requisitions from the vessel's crew for supplies and equipment.
  • Process requisitions from stakeholders (government and partners) for supplies and equipment to be delivered onboard. 
  • Prepare, pack and label items for transportation to the vessel, ensuring accuracy and completeness of orders.
  • Coordinate with logistics personnel to confirm requisition orders and the arrangement transportation of goods and supplies to the vessel.

Record-Keeping:

  • Keep detailed records of all transactions, including receipts, issuances, and returns.
  • Update inventory records in real-time to reflect stock movements accurately.
  • Generate reports on inventory status, usage trends, and other relevant metrics as required.

Warehouse Organization:

  • Maintain a clean, organized, and safe warehouse environment. This includes cleaning of floors and common-use areas and ensuring environment is pest free. 
  • Ensure proper storage of items, including proper labelling, shelving, and segregation of hazardous materials.
  • Ensure food stuffs are stored in a hygienic and appropriate manner ready for delivery to the ship, including the appropriate labelling and storage of temperature sensitive foods. Assist with periodic inventory inspections and reorganization efforts to optimize space utilization.
  • Understand and help enforce any personal protective equipment requirements within the warehouse (e.g. use of safety glasses, gloves, etc, when required). 

Communication and Coordination:

  • Communicate effectively with the vessel's crew, warehouse staff, logistics team and other stakeholders to coordinate logistical activities.
  • Communicate important safety and hygiene messages within the warehouse including creating or purchasing appropriate signage and posters to promote a safe working environment. 
  • Collaborate with purchasing and procurement teams to ensure timely replenishment of stock.
  • Address inquiries and resolve issues related to inventory and supplies promptly.

Emergency Response:

  • Be willing to join HELPR-1 deployments for training and/or emergency response missions or as required.
  • Be willing to work extended or emergency hours during disaster response activation periods.
  • Support the emergency response activities of Respond Global and HELPR-1 through warehouse and logistics support immediately before, during and after a response. 

Reporting Lines

  • This position reports directly to the Operations Support and Logistics Manager.
  • This position works directly with the Shoreside Finance and Administration Officer and the logistics team onboard HELPR-1.

Qualifications and Skills

  • High school diploma or equivalent; additional training or certification in warehouse management or logistics preferred.
  • Proven experience in warehouse operations, preferably in a maritime, industrial or humanitarian setting.
  • Familiarity with inventory management systems and procedures.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Willingness to learn.
  • Ability to work effectively in a team environment and collaborate with diverse stakeholders.
  • Basic computer skills for data entry and record-keeping.
  • Must have a valid drivers license. 

Physical Requirements

  • Ability to lift and carry heavy objects, climb ladders, and operate warehouse equipment as needed.
  • Willingness to work outdoors and in varied environmental conditions, including exposure to noise, dust, and fluctuating temperatures.
  • It is a condition of employment that the candidate pass a medical examination to prove fitness to work before being offered employment.

Any employee who works aboard HELPR-1 must also abide by the HELPR-1 Code of Conduct and Disciplinary Procedure. This includes observing the strict policy that no alcohol, kava or drugs may be brought onboard or consumed aboard HELPR-1 at any time – failure to observe this policy will result in instant dismissal.
